Journal Entries

Automatically push journal entries to QuickBooks

When ON ProRata will push deferred revenue journal entries to QuickBooks on their due date.

We recommend keeping this setting OFF until you have configured the rest of your settings and have confirmed your revenue is being calculated correctly.

Journal entry date threshold

You may specify a date for which journal entries will not be pushed to QuickBooks. Journal entries before the specified date will be marked as recorded in ProRata but will not be pushed to QuickBooks.

This is useful if you have already recorded deferred revenue journal entries for past periods and do not want ProRata to duplicate that revenue.

Leave blank to have ProRata push all journal entries to QuickBooks.

Deferred Revenue

Turn ON if you plan to have ProRata calculate and track deferred revenue. The default deferred revenue and product income accounts determine the debit and credit values for monthly deferred revenue journal entries.

Default Deferred Revenue Account

Choose the default deferred revenue account you use for deferred revenue tracking in your accounting system. If you have multiple deferred revenue accounts, choose the parent account or the most commonly used one. Deferred revenue accounts can be customized for each type of product in your Product Settings.

Default Product Income Account

Choose the default product income account you use for deferred revenue tracking in your accounting system. If you have multiple product income accounts, choose the parent account or the most commonly used one. Product income accounts can be customized for each type of product in your Product Settings.

Closed Books

If you have QuickBooks configured to close your books those settings will be mirrored here. ProRata checks periodically to see if you books are closed and will update these settings.

Additional Settings

Pull Products/Services

Turn ON to have ProRata automatically pull product/service changes from QuickBooks. New products/services will be imported with the default settings.

This settings is only recommended if you know that you want all products/services in QuickBooks pulled into ProRata. If you use this in conjunction with setting QuickBooks Automations settings set to Automated then everything will be pulled into ProRata. Use with caution!
